Data, purposes and legal bases
When you use the contact form, we process your name, email address, optional company, subject, message and selected language in order to answer your enquiry. This processing is based on taking steps at your request before entering into a contract when the enquiry concerns a project or order, and on our legitimate interest in answering other enquiries.
To protect the form from abuse, your IP address is temporarily used by a request limiter. It is not included in the website HTTP logs and is removed from the limiter after fifteen minutes.
When you add a product to your cart, a technical cart identifier is sent to Shopify. Checkout then takes place on Shopify.
When you create a designer account, your username, email address and newsletter preference are sent to Iconicube to create and manage the account and retrieve your creations. This processing is necessary to provide the requested service. If you choose to receive news, those messages are based on your consent, which you may withdraw at any time. The password is sent directly to the service through the secure proxy and is not retained by the KUBIKO website.
When you request account recovery, the username or email address you enter is sent to Iconicube so that recovery instructions can be delivered. KUBIKO displays the same response whether or not a matching account exists, to protect accounts from identification by third parties.
Fields marked as required are necessary to process your enquiry. Without them, we will not be able to respond.
Recipients and providers
Form data is available only to authorised KUBIKO personnel and to the email provider configured to deliver the message. Cart and payment data is processed by Shopify. Designer account and creation data is processed by Iconicube. The technical hosting provider may access data only as needed to operate and secure the service.
If a provider processes data outside the European Economic Area, KUBIKO verifies that a GDPR-compliant transfer mechanism applies.
Retention periods
- Contact enquiries are retained while they are handled and for no more than three years after the last exchange, unless a legal obligation or dispute requires otherwise.
- Request limiter entries are deleted after fifteen minutes.
- The cart cookie expires after thirty days.
- The language cookie is a session cookie.
- Designer account data is retained while the account is in use, subject to applicable legal obligations and erasure requests.
- Order data is retained in accordance with applicable legal obligations and the information provided at checkout.
Cookies
The website uses only cookies required for its operation: language choice, cart, authentication on the staging environment and the designer session. They are not used for advertising or audience tracking. You can delete them in your browser settings; doing so may reset your cart, language preference or designer session.
When you open the KUBIKO designer, the website routes the required requests to the Iconicube service through a server-side proxy. A PHP session cookie, strictly necessary to sign in and maintain your designer session, is stored for the KUBIKO domain and forwarded to Iconicube only by this proxy. The KUBIKO website does not retain your password. Blocking or deleting this cookie prevents use of the signed-in designer.

Your rights
Depending on your situation, you may request access, rectification, erasure or restriction of your data, or object to processing based on legitimate interests. You can exercise these rights by emailing contact@kubiko.games. Proof of identity will be requested only where there is reasonable doubt.
You may also lodge a complaint with your local data protection authority or with the French CNIL.
